Recreation Commission Minutes 01/17/08
Evendale Recreation Commission
January 17, 2008

Called to order at 7:39am.

Roll Call: Stiney Vonderhaar, Dave Nichols, Pam Meyers, Wayne Mosley, Gus Janszen, Mary Lou Isaac, Michele Gottschlich. Absent: Grace Ficke

Recognition of Visitors: Rick Hasler and Stephanie Zelvy, Tri-Health Fitness

Election of Commission Chair: Mary Lou Isaac nominates Michele Gottschlich to be Chairperson; seconded by Pam Meyers. Nomination approved.

Election of Commission Vice-Chair: Gus Janszen nominates Mary Lou Isaac to be Vice Chairperson; seconded by Wayne Mosley. Nomination approved.

Motion to approve the November minutes made by Wayne Mosley; seconded by Gus Janszen. Motion approved.

New Business:
Tri-Health Quarterly Update
·       4th Quarter included the Great American Smoke Out campaign, holiday de-stress packets, and massage program launch.
·       Group fitness class schedule added an advanced Pilates class and a muscle class. Great registration numbers across the board means that every class is taking place. Two spinning bikes have been added.
·       1st Quarter 2008 incentive program is “Lift a Car.” Participants start with 200 minutes in cardio then lift weights totally a car’s weight; once that is earned then process repeats until the next car in weight is lifted. (Note: due to the complexity of this program, the incentive program was changed to “Fish Bowl Challenge.” A fishbowl with various equipment and workouts will be placed on the desk and members will be encouraged to pick a “fish” and try something new in the fitness center.) “No cell phone zone” signs have been placed in the fitness center encouraging members to step off the equipment and move to a designated area while on the cell phone. This quarter’s prevention class will cover the benefits of acupuncture. Stephanie will be working on a survey.
·       Dave and Stephanie will discuss the possibility of a free week of classes between sessions, or hosting an afternoon fair for people to come and explore various fitness programs the department offers. Not everyone knows what Pilates, or spinning, or yoga might be; others might be too intimidated to try a class for the first time.
·       The weight bench keeps moving toward the wall, so every Saturday Shawn will move back into position (movement caused by the weight bar being dropped back onto the posts at the end of reps).
·       Massage Program promotion and member file updates continue.

Old Business:
·       Tri-Health report covered in quarterly update presentation. Attendance remains strong.

Director’s Report:
·       The Mayor requests Commission to consider whether an open air shelter or another enclosed shelter would be most beneficial to the department and village. Another shelter would be great; at minimum, build an open air shelter with everything in place should we decide in the future to enclose it. Further discussion next month.
·       Business Fitness and Facility memberships have sold out for 2008. In 2007, we sold out so fast a few 2006 members we closed out. Commission allowed up to ten 2006 members to renew for 2007, then current business fitness and facility members would be allowed to renew starting in December, in addition to raising the total number to ninety. 55 business members took advantage of this opportunity. All remaining slots become first come, first sold on January 2nd. Number ninety sold shortly after 9:00am on January 3rd.
·       Playground input group will meet again on February 14th at 6:00pm. The land survey is almost complete. Public Works will begin demolition soon. The drainage issue in that area will be addressed during construction. The new playground will be a mix of traditional for 2-5 year olds and contemporary for the 6-12 year old, with swings for all ages. The sections will also be “site” angled, so parents can sit and watch kids on both play sets. Dave is hoping to have a “pour & play” surface installed which is a thick rubbery surface that is safe, easy to clean, has no seams for weeds can grow through, and has several colors to choose from. Hopefully no trees will be lost, however one tree is in question. The trees allow for natural shade rather than purchasing a lot of shade tops for the play equipment.
·       Grace Ficke will be honored February 10th by the Ohio Parks & Recreation Association for Outstanding Youth Leadership in the 12-15 year olds age group. Council will honor her on February 14th with a proclamation.
·       The Flex Room will have its walls redone in carpet this year. Graphic Artist, and resident, Micki Ficke is designing a graphic to be done in carpet on one wall. The flooring will remain the same until a final decision is made regarding type of flooring.
·       Adam Knight sent a recap of the Crew 57 Bengals vs. Dolphins event. He also sent a list of things the kids would like to do this year. Crew 57 is for Evendale kids in the 5th-7th grades.
·       Signage for the trail system is being designed. A proof copy (passed around at the meeting) would be for Evendale Roads that do not have sidewalks; the signage would indicate a shared path on Evendale roadways.
·       Dave request commission members to come to the February meeting with a list of goals and objectives for commission and the department for 2008.
Dave’s list includes:
- getting more non-users involved
- revamp existing programs, or adding new ones
- hosting input sessions to identify perceptions or concerns regarding the department
- consider lowering or removing costs for patrons 62 years and older.
- ideas for part, or all, of the old Churchhill property, such as expanding soccer field #3, adding tennis courts, etc.. Council would like to hear these before they consider what to do with the property.
·       An expenditure report was reviewed.

Open Discussion:
·       We were hoping to purchase new soccer uniforms for this spring; however price quotes are higher than expected, so more research needs to be done to get the best uniforms for the best price.
·       Cultural Arts Commission is a separate commission working on the Civic building but the Recreation Commission would like to hear from them to better understand what is being developed and how the two groups can work together. We do know the renovation is underway. Dave will extend an invitation to a Cultural Arts Commission member to attend our February meeting.
·       The chairperson summarized that for the February meeting members should come with:
-goals and objectives for 2008
- a list of others we would like to hear from (Tri-Health, Cincinnati Pool Management, the Mayor, department staff members, Gorman Farm, etc.) Maybe, we should develop a monthly topic list. February’s topic will be the Cultural Arts.
